Common questions and explanations about using the system
What is the difference between VAT and withholding tax (WHT)?
VAT and WHT are separate taxes with different purposes. VAT is added to the document total when you are VAT registered. WHT is deducted by the client from the amount they pay you and may later be claimed as a tax credit.
For example, an invoice can include 7% VAT and 3% WHT at the same time. Tax treatment depends on your business and the transaction, so confirm your setup with a Thai accountant or the Revenue Department.
How are Subtotal, VAT, WHT, Total, and Amount Due calculated?
Subtotal is the sum of the line items. The discount is deducted before VAT and WHT are calculated. Total is Subtotal minus the discount plus VAT. WHT is then deducted from Total to produce Amount Due.
Amount Due is what the client is expected to transfer. This is also the amount MANA compares against a linked payment transaction.
What is the difference between a quotation, invoice, and receipt?
A quotation is a price proposal before the client commits. An invoice requests payment for work or services. A receipt confirms that payment has been received.
The usual flow is quotation → invoice → receipt, but you can also create each document directly when that better matches your workflow.
What do I need before I can publish a document?
A document needs an issue date and at least one line item before it can be published. Invoices and receipts must also be linked to a project.
To email the document from MANA, add an email address to the client details. Payment details are optional and can be added later.
What is the difference between saving a draft and publishing?
A draft is private, remains editable, and cannot be opened by the client. Publishing changes it into the client-facing version, creates its PDF, and lets you share or email it.
Drafts can be permanently deleted. Published documents follow the document lifecycle and can be archived instead of deleted.
What happens when I share or email a document?
The client receives a secure public link and does not need a MANA account. A successful email updates the document's last-sent time, and resending updates that time again.
The first genuine client view is recorded after a short delay to reduce bot activity. When supported by the document type, the client can also approve or decline it from the public page.
How do I mark an invoice as paid?
Link a revenue transaction to the published invoice. This reconciliation marks the document as paid and uses the transaction date as the payment date.
If the transaction amount differs from Amount Due, MANA shows a warning but still saves the link. Unlinking the transaction returns the document to its unpaid published state.
What is the difference between a recurring transaction and a recurring invoice?
A recurring transaction marks income or an expense that repeats weekly, monthly, quarterly, or yearly. It contributes to recurring-revenue and forecast calculations but does not create a document.
A recurring invoice is a document template. On its schedule, it generates a new draft for you to review and send.
How do recurring invoices work?
A recurring document acts as a template. On its monthly, quarterly, or yearly schedule, MANA creates a new draft and moves the next generation date forward. The due-date offset is preserved.
Generated drafts are not automatically published, emailed, or paid. Review each draft before sending it to the client.
What is a Wallet, and does it show my live account balance?
A Wallet represents where money moved, such as a bank account, card, cash, PromptPay, or platform balance. Selecting one filters your transactions, and a default Wallet is preselected on new transactions.
Wallets are used for organization only. MANA does not connect to the provider to calculate or display a live balance.
How does AI receipt import work, and why should I review it?
Upload a receipt image and the AI extracts details such as amount, date, currency, merchant, and category into a transaction. The original image is stored with the record.
Blurred images or unclear values can produce incorrect results or a default currency. Check every AI-filled field before relying on it; editing the imported transaction marks it as reviewed.
What counts as one AI Action?
One completed assistant response to one of your messages counts as one AI Action, even when the assistant performs several tool calls along the way. Loading chat history does not count.
If you stop a response before the assistant produces an answer or tool result, that interrupted turn is not counted.
What are the monthly AI limits?
AI usage has separate mid-tier and frontier limits. Free includes 20 mid-tier and 3 frontier Actions per month; Mana includes 100 and 15; Aether includes 1,000 and 100.
The selected model determines which limit is used. Reaching one limit blocks further Actions in that category without silently switching models. Limits reset at the start of each calendar month in UTC.
Active projects are also capped by plan: Free 1, Mana 10, Aether unlimited.
How are the Cash Flow Forecast and Tax Estimate calculated?
The Cash Flow Forecast estimates next month's net flow by subtracting the trailing three-month average of actual expenses from monthly recurring revenue. It is not a Wallet balance or a prediction of when your cash will run out.
The Tax Estimate is a simplified 25% estimate based on net income. It is for planning only and is not an official tax calculation or filing recommendation.
What is the difference between archiving and deleting a project?
Archiving hides a project from active work while keeping it available to restore later. It has no deletion countdown.
Deleting moves the project to Trash. You can restore it for 14 days; after that, it is permanently removed.
What is the storage limit, and what happens to files in Trash?
Your workspace currently has 1 GB of file storage. Active files count toward the limit; files in Trash do not. If storage is full, remove files before uploading more.
Trashed files can be restored for 14 days. After that they are permanently deleted.
How does Google Calendar sync work?
Connect Google Calendar in Settings → Integrations and choose the calendar to sync. MANA events are pushed to that calendar, while Google events are imported back into MANA. Changes to synced events update both calendars.
Milestone dates, invoice due dates, quotation expiry dates, and recurring document dates appear as read-only overlays. Edit those dates in their original project or document.
What happens when I change or cancel my subscription?
Changes that increase the plan tier or move from monthly to annual billing can start immediately. MANA shows the exact Stripe preview and collects the amount due before applying the change.
A lower plan tier or a switch from annual to monthly starts at the next renewal. Your current plan remains active until then, with no charge, refund, or credit on the day you schedule it. Pending changes and cancellations can be restored from Billing settings before their effective date.
What happens when I export my data or delete my account?
Export downloads your MANA records as a JSON file, including core business records and stored metadata. Secret credentials such as your MCP token are excluded. Uploaded file contents are not bundled into the JSON.
Deleting your account permanently removes the account, projects, contacts, documents, transactions, chats, and associated stored files. This cannot be undone.
